Appointment Policies

Thank you for choosing Jermantown Animal Hospital to care for your pet. When you book an appointment, we set aside dedicated time to give your pet the best care possible. There has been an increase in clients failing to show up for scheduled appointments. As a result, as of September 3rd 2024, Jermantown Animal Hospital will implement a reservation fee to secure an appointment and surgery/procedures for all clients.

The reservation fee for surgeries or procedures is $200 and appointments is $25. This will be fully credited towards the visit. If you cancel – at least 72 hours before your pets surgery or procedure and 24 hours for appointments the reservation fee will be refunded. If you do not contact us within those time periods, the reservation fee will be forfeited. If you need to cancel or reschedule, the acceptable methods to reach us are by emailing or calling as soon as you can. Leave a message if needed. This helps us fit in other pets who might be waiting for a spot.

* If you’re running more than 15 minutes late, you might need to wait until we can squeeze you back into the schedule.

* Please make sure that you have accepted at least one source of communication, such as email or texts through your Rapport Pet Portal found on our website or the My Pet Wellness App found on the Apple or Google Play Store, so that you are able to receive a reminder of your appointment. Even if you don’t get a reminder, our policy still applies. We understand that emergencies can come up. If you’re dealing with something unexpected, please reach out to us as soon as possible. If it’s outside regular hours, leave a message at 703-273-5055, and we’ll get back to you.

To access your record online via the Rapport Pet Portal visit our website www.jermantownanimalhospital.com and click the blue “Pet Portal” button at the top right of our website. This will lead you to a log in page with New User or Forgot Password, and Returning User options.

If you would like to receive emails, calls or SMS (TEXT) messages regarding important health reminders about your pet(s) please access your Pet Portal and opt in to these options.

MyPetsWellness Mobile App: MyPetsWellness, is now available in the App Store for iOS devices and in the Google Play store for Android devices. The app gives you access to all your vital pet health information at any time, from anywhere. You’ll be able to see each pet’s upcoming appointments, vaccine reminders, and prescriptions.

Boarding Reservation Fee

In order to reserve a spot on our boarding schedule, we require a reservation fee of 1/3 of the entire boarding stay cost up front at time of booking. This reservation fee also acts as a credit on your account and goes toward the remaining balance for the full boarding stay due at time of checkout. If you need to cancel the boarding stay for any reason, you have until three days before check in to contact us via email or calling as soon as you can, leave a message if needed in order to get a refund on the reservation fee, otherwise it will be forfeit.

Calming Support for Dogs and Cats: Pheromone Bandanas and Towels

To help reduce stress during visits, we offer calming pheromone solutions for both dogs and cats. For our canine patients, we provide pheromone-sprayed bandanas upon arrival. These bandanas are infused with ThunderEase, a spray that mimics the natural pheromones mother dogs emit to comfort their puppies. This helps ease anxiety and creates a more relaxing environment for your pet.

For our feline friends, we use towels sprayed with a cat-specific pheromone, also powered by ThunderEase, which replicates the calming scent cats naturally release when they rub their whiskers. This helps your cat feel more at ease during their visit. Both options provide drug-free, vet-recommended calming support, making appointments less stressful for everyone involved.

While these calming solutions are not required, they are highly recommended for pets with anxiety or nervousness during vet visits. If you prefer, you can opt out at any time – just let us know!
